- Implementation: Concur Travel & Expense
- Industry: Endpoint Security Software Solutions
- Company size:20,000 employees Pilot Travel
Pilot Travel Centers is the world's largest U.S. operator of travel centers as well as the largest seller of over-the-road diesel fuel. Being one of the top ten privately held companies in the U.S. after a recent merger they now have over 550 travel centers and travel plazas across North America in over 40 U.S. states and six Canadian Provinces. The company was in desperate need of an automated solution that complimented their diverse company. While processing 800 expense reports and 15,000 invoices per month prior to the merger, Pilot Travel Centers had a three-year vision to gain visibility into their expenses and invoices and reduce the amount of manpower. Concur® Travel & Expense and Concur® Invoice made this vision tangible.
Before implementing Concur, Pilot Travel Centers was using manual, paper-based processes such as Excel spreadsheets, scanned documents on the back-end, paper invoices, etc. This caused poor visibility and an overloaded staff. Accounts Payable Manager, Estelle Bluhm, says "Automating our expenses was the best thing we could have done for Pilot. Concur has given us a great load of accomplishments."
- Reduced headcount processing expense reports and invoices by three FTE.
- Rapid payment process allows Pilot to reimburse employees within one day, considering expense reports are approved on the employee/manager side.
- 100 percent visibility to all invoices, as well as faster and more accurate processing.
- The ability to process invoices twice as fast as manual keying.
- The ability to record the liability at month end.
"Pilot Travel Centers could not be happier with their decision to execute Concur," says Bluhm. "It has given us a single solution where there is one place for employees to access their travel booking, expense reporting and invoice processing."
The future looks bright for Pilot Travel Centers. With plans to implement Concur® Mobile, this multi-national, escalating company continues to prosper and remain the largest U.S. operator of travel centers. Estelle Bluhm says, "I am very anxious to see what the future holds with Pilot Flying J and Concur. I would have never thought that automating expenses could be so exciting."
